How Important Is Communication In Fundraising?


Like in families, friendships, relationships or at the workplace, communication with donors is crucial in fundraising. It is so vital that your communication efforts determine your fundraiser’s success or failure. Because we acknowledge this, today we will share with you three message templates that you can use to communicate to your donors with. Be it on WhatsApp, email or text message these templates can be easily customized to fit your audience and fundraising needs.

1. Reaching out to potential donors

Has someone ever explained a concept to you very well such that you instantly felt invested in the idea? If yes, then you know how important it is to introduce your fundraiser comprehensively. Your introduction message should be well written but also brief enough. Here is an example of a reaching out template specially made for you:

Dear/Hello/Hi [name],

I hope that you’re doing well! [Insert personal or relevant details].

As you may have heard, I am raising money for [my business/ school/bakery], and I could really use your help. I’ve already raised [amount], but I’m trying to make it to [amount] by [date]. No amount is too small and every contribution will help me reach my goal. I plan to use the money to [Explain the effect COVID-19 has had on your business and how you plan to spend the raised amount]. 

You can support my fundraiser by clicking here [insert URL to campaign page]. Feel free to also share my fundraiser on Facebook, Twitter and anywhere on the internet, really. The more eyes we have on it, the sooner we will reach our goal. 

Thank you for your support. Kindly let me know if you have any questions about the campaign, or [the bakery/ school/business.].

As you reach out to your donors kindly make sure that you personalize the message and be very clear with your appeal. You can also add an image/ poster related to your appeal and don’t be scared to make your appeal attractive using humor or other techniques. If you are using email to reach out, ensure the subject line is catchy.

2. Thanking your donors

One of the things we continuously emphasize is the importance and need to always thank your donors. In addition to the automatic thank you message sent to your donors, by M-Changa, it is wise for you to follow it up with a personalized thank you. Wondering what you should include in your thank you message? Here is a thank you message template made especially for you;

Dear/Hey/Hello [recipient’s name],

Thank you so much for being a part of my fundraiser! Your generosity will go a long way in [mention impact briefly but specifically].

We look forward to reopening our [bakery/ school/ business] and serving you soon. Once the campaign is over, we will share the news of our reopening [or any relevant info] with you.

Thank you again! You have no idea how much your support means to me and the team!

As you thank your donors, be sure to specifically mention how the funds donated will help. This way the donor will be assured that their donation will help make a difference. It can also be the reason they chose to donate again:-)

3. Following up with your donor

Because you, like many of your prospective donors, don’t always have money it is essential to follow up with your donors at different times. Follow up is necessary, especially when the donor asks that you remind them about the fundraiser at another time. To ensure you remember, you can make a list of donors indicating the times they asked to be reminded.

Dear/Hey/Hello  [name],

[Fundraiser’s end date] is almost here! Do you know what this means?

It means that we have only [number] days left to raise [amount] for [the fundraiser name/ cause]. If only [insert number] of people contribute [insert amount] to my campaign, I will be able to reach my goal. Would you consider giving a contribution of 500/- [or any other small amount] towards this? A 500/- donation will go a long way towards [list out key goal(s)] and also get you [a reward if applicable] OR and also help me win the 100,000/- prize [if there will be a prize for highest raising campaign].

When following up with your donor be very clear with your need. You can also quote a specific amount and mention what exactly it will do. By doing this, the donor may feel connected to that specific need swaying them to donate.
